This page outlines new processes and procedures for the Drupal 7 version of the fews.net CMS, which is used to manage and update the fews.net website. Please note fews.net will be upgraded to Drupal 9. This guidance will be updated accordingly. Please email helpdesk@fews.net with any questions.

CMS User Roles and Responsibilities

The fews.net CMS currently has four User roles: Administrator, Site Manager, Content Manager, and Content Author. Following the Train-the-Trainer model, the Hub trained the EW team’s Site Manager who then identifies staff who should receive Content Manager and Author roles.
1. ADMINISTRATOR
Has all available Permissions, including User account and website menu management.
2. SITE MANAGER
Can create, edit, and delete any node in content types:
Area of Concern; Blog; Report; RFP; Vacancy
Data Portal and Pages (can only delete their own)
On any node:
Can manage content in panes and blocks and reorder content layout for the node
Can manage translation, redirects, revision information, authoring information, and publishing options
Can use the files interface to directly manage, upload, and edit media files (i.e., images and PDF documents).
3. CONTENT MANAGER
Can create, edit, and delete any node; manage redirects, revision and authoring information; and publish the following content types:
Area of Concern, Blog, Report, RFP, Vacancy
Data Portal (can only delete their own)
4. CONTENT AUTHOR
Can create, edit, delete content; manage revision and authoring information; and publish any report content type node.
Onboard/Outboard Process for CMS Users
In March 2020, the Hub implemented a policy for User account creation, update, and expiration to ensure security compliance, facilitate the documentation of requested User account updates, and all actions taken to resolve the request.
ONBOARDING PROCESS
When a new user requires a CMS account, a team member should submit the following information via email to helpdesk@fews.net:
New user's full name and email address
User role required by the new CMS User
OUTBOARDING PROCESS
When a user no longer requires CMS access, a team member should submit the following information via email to helpdesk@fews.net:
Existing user's full name and email address
Date the CMS User no longer requires access
Password Management
Change Your CMS Password
Use the following procedure to change your CMS password.
Log into the CMS at: https://fews.net/user. Your User account (or History) page appears.
2. Click the link to Edit your profile and password. Your User profile page appears.
3. Enter your current password in the Current password field.
4. Enter your new password in the Password field.
5. Verify your new password in the Confirm password field.
6. Click Save.
Verify Your CMS Password Change
Click Log out to close your session and exit the CMS.
Using your new password, log back into the CMS at: https://fews.net/user

Forgot CMS Password
If you forgot your password, follow these steps to request a new one:
Go to the CMS log in at: https://fews.net/user.
Enter [your username] in the Username field.
Enter what you think your password might be in the Password field.
Click Log in.
If you entered the correct password, you will gain access to the CMS. Hooray!
If you did not enter the correct password, you will be prompted with the following message.
5. Click the Have you forgotten your password? link in the red message box. The following screen appears.
6. Verify [your username] in the Username or E-mail address field.
7. Click E-mail new password.
An email message containing instructions for resetting your password will be sent to the email address associated with your CMS user account. The email contains a link for a one-time login to the CMS. Click the link or copy and paste it into your browser. Follow the prompts to update your password.
8. Once you have successfully entered your new password in the Password and Confirm password fields, click Save.
Verify Your New Password
Click Log out to close your session and exit the CMS.
Using your new password, log back into the CMS at: https://fews.net/user
